Privacy note

Who we are. The Windsor Essex County Artists Guild is an Ontario not-for-profit corporation (Ontario Corporation Number 1001791900). Questions go to guild@wecag.ca.

What we collect when you join. Your name, or the name you work under. Your email. Your member type: artist, venue, or supporter. Your town and your discipline. That's it.

What you can add if you want to. One public link, more links, work samples, what you offer, and your rates. All of it is optional.

Your password. We store it scrambled, so nobody at the Guild can read it. Directors and the administrator also sign in with a second code from an app on their phone.

What the public sees. Nothing, unless you tick the directory box. If you tick it, the public sees your name or the name you work under, your discipline or type, your town, one link, your tier and flair, and your headline line. Supporters are never listed. A venue's street address is shown only if the venue asks us to show it.

What signed-in members see. Your full profile, including your Ledger, Encores, notes and Bravos. Members are artists, venues and supporters who were approved by a director.

Who can see everything. Our three directors and our one administrator. Every action they take is logged by name.

What we don't do. We don't sell your information. We don't run ads or trackers on the site. We don't keep your IP address. If someone abuses the site, we may keep IP addresses for thirty days, and we will say so here first.

Where it lives. On our own server in Canada (Montréal, Quebec), with a nightly backup the Guild keeps.

How long we keep it. For as long as you're a member. If we invite you and you never claim your account, we delete it after thirty days. If you leave, we remove you from the site right away and from our backups within fourteen days.

Your rights. You can see what we hold about you, fix it, or have it removed. Write to guild@wecag.ca. If you're not happy with our answer, you can complain to the Office of the Privacy Commissioner of Canada.

Changes. When this note changes, we date it and record the change on our public changelog.

Terms of membership

  1. Who can join. Anyone who makes art, hires artists, or supports them in Windsor-Essex. A director approves every member.
  2. One account each. Use your real name or the name you work under. Tell the truth on your profile.
  3. No dues. Membership is free. Donations are welcome but are not tax-deductible.
  4. Every gig lists its pay. No rate, no post. Once the Guild sets pay floors, gigs must meet the floor for the tier they ask for.
  5. The Ledger is fact. Only the two sides of a real gig vote on it, once each. Vote honestly.
  6. Treat people well. No harassment, threats, hate, or spam. Follow the house rule for notes.
  7. Deals are between you. The Guild helps artists and venues find each other. We are not a party to your agreements and we don't collect your pay.
  8. We can step in. A director may hide content, pause an account, or remove a member who breaks these terms. We give a reason, and the decision is logged.
  9. You can leave any time. Delete your account, or write to guild@wecag.ca. See the privacy note for what happens to your information.
  10. These terms can change. We date every change and post it on the changelog.

House rule for notes

Talk about the work, not the person. First-hand only.

Takedown process

To ask. Write to guild@wecag.ca with the link and the reason.

Your own information. If it's about you, we remove it. No questions asked.

Someone else's note. We hide it while a director reviews it. We reply within two working days and decide within seven days. Both sides hear the decision and the reason.

The record. Each takedown is logged. The changelog notes that one happened, but never names anyone or repeats the content.

Legal requests. Anything from a lawyer, a court, or the police goes to our lawyer before we act.
